Privacy Practices

Homeschool Classroom, Inc. ("Homeschool Classroom," "we," "us," or "our") respects the privacy of students and families. These Privacy Practices explain what information we collect, how we use it, when we share it, and the choices available to parents and legal guardians.

These Privacy Practices apply to our application and enrollment process, parent portal, website forms, in-person educational services, billing and scholarship administration, electronic communications, student portfolios, and related operations.

1. Information We Collect

We collect information reasonably necessary to evaluate applications, enroll students, provide educational services, protect student safety, communicate with families, administer accounts, and meet business and legal obligations.

Parent, Guardian, and Household Information

This may include:

names and relationships to the student;

email addresses and telephone numbers;

mailing, residential, and billing addresses;

preferred communication methods and communication permissions;

household and custody-related information relevant to enrollment or release;

portal account information and account status;

electronic acknowledgments, signatures, and consent records; and

communications with Homeschool Classroom.

Student Information

This may include:

legal and preferred names;

date of birth, age, grade level, and demographic information;

student photographs used for identification or records;

home-education, school, curriculum, and educational-background information;

learning strengths, needs, goals, accommodations, educational plans, and support information;

attendance, arrival, departure, scheduling, and enrollment information;

assignments, student-created work, uploaded files, photographs of work, and portfolio materials;

assessments, instructional notes, session summaries, progress observations, learning outcomes, support strategies, and recommended next steps;

behavior, incident, safety, and administrative-review information; and

information the Parent voluntarily provides that is relevant to student services.

Health, Emergency, and Safety Information

This may include:

allergies, medical conditions, medications, dietary restrictions, sensory needs, and emergency instructions;

emergency-contact information;

authorized pickup and drop-off contacts;

identity-verification and release restrictions; and

incident or injury information.

Homeschool Classroom is not a medical provider. We collect health-related information only as reasonably necessary to support participation, accommodations, emergency response, and student safety.

Authorized and Additional Contacts

We may collect names, relationships, telephone numbers, email addresses, pickup or drop-off permissions, emergency roles, identification requirements, and student-information permissions for people identified by the Parent.

The Parent is responsible for providing this information only when authorized to do so and for keeping each person's permissions current.

Billing, Payment, and Scholarship Information

This may include:

billing-contact information;

tuition, fees, balances, credits, invoices, payment status, and transaction history;

limited payment-method details returned by our processor, such as card brand, last four digits, expiration date, or processor identifiers;

automatic-payment authorization and collection status; and

Step Up For Students or other scholarship allocation, approval, reconciliation, and payment information.

Homeschool Classroom does not intend to store complete payment-card numbers in Airtable, Softr, or its ordinary business records. Payment-card information is processed by Stripe or another disclosed payment processor.

Technical and Usage Information

When a person uses our website, portal, forms, payment pages, or electronic links, we or our service providers may receive technical information such as IP address, device or browser information, timestamps, authentication data, page requests, link-use information, and security or diagnostic logs.

2. How We Collect Information

We may collect information:

directly from parents, guardians, students, and authorized contacts;

through applications, forms, agreements, uploads, portal activity, email, telephone, and in-person communications;

from staff observations and records created while providing services;

from payment processors and scholarship or funding organizations;

from educational platforms selected or authorized for the student; and

from service providers that support our technology and communications.

3. How We Use Information

We use information to:

review applications and determine placement;

establish and manage household, contact, student, enrollment, and billing records;

provide instruction, enrichment, progress monitoring, accommodations, and student support;

schedule services and record attendance, arrival, departure, and authorized release;

create session summaries, work-sample records, progress documentation, and student portfolios;

communicate with parents, guardians, authorized contacts, and students as appropriate;

send enrollment, agreement, scheduling, attendance, billing, payment, portal, safety, service, and student-related communications;

process payments, maintain account ledgers, and administer scholarship funding;

obtain electronic signatures and maintain signed agreements;

respond to questions, requests, disputes, incidents, and emergencies;

maintain security, prevent misuse, diagnose technical problems, and improve operations;

comply with applicable law, contracts, funding requirements, and lawful requests; and

establish, exercise, or defend legal claims.

We do not use student information to make medical or psychological diagnoses.

4. Required Service Communications

We use the contact information supplied by the Parent to send communications necessary to administer an application, enrollment, account, payment relationship, and student services. These may include:

application and enrollment updates;

electronic agreements and signature requests;

schedules, attendance notices, and pickup-related communications;

invoices, balances, payment links, receipts, and payment reminders;

parent-portal access and security notices;

session summaries, work samples, progress information, and recommended next steps;

program, safety, emergency, or operational notices; and

replies to support requests.

These required service communications are different from marketing messages. A family may decline optional marketing without blocking required communications associated with an active application, enrollment, account, or legal obligation.

SMS messages, if offered, are sent only under the applicable SMS consent process. Message and data rates may apply. SMS consent and mobile information will not be sold or shared for third-party marketing.

5. How We Share Information

We disclose information only when reasonably necessary for student services, safety, account administration, business operations, or legal compliance.

Staff and Service Personnel

Authorized employees, instructors, contractors, evaluators, and administrators may access information needed to perform their assigned responsibilities. Access should be limited according to role and legitimate operational need.

Parents, Guardians, and Authorized Contacts

We may share student information with the student's Primary Contact and with other people authorized to receive information about that student. Pickup authorization alone does not automatically authorize a person to receive educational or billing information.

We may require identity or authority verification before releasing records or changing permissions. Families must notify us promptly of custody orders, legal restrictions, or changes affecting access to a student's information.

Technology and Operational Service Providers

We use third-party providers to operate our services. Depending on the workflow, information may be processed by providers such as:

Airtable for operational records and workflow automation;

Softr for adult-completed forms and parent-portal access;

Brevo for transactional email delivery;

Stripe for payment processing and stored-payment workflows;

SignWell for electronic agreements and signatures;

Vercel for secure application and integration hosting;

Google and Gmail for authorized business communications and scholarship-intake workflows;

Step Up For Students for scholarship authorization, allocation, and payment administration; and

IXL or other parent-approved educational platforms for instructional support; and

Squarespace for our public website, website hosting, and related site functionality.

These providers may process information according to their agreements with Homeschool Classroom and their own privacy terms. We seek to provide only the information reasonably necessary for the applicable service.

This list may change as our operations evolve. Material changes will be reflected in an updated version of these Privacy Practices.

Legal, Safety, and Business Requirements

We may disclose information when reasonably necessary to:

comply with applicable law, court orders, subpoenas, or lawful government requests;

protect a student's or another person's health or safety;

investigate suspected fraud, abuse, security incidents, or violations of our agreements;

enforce agreements or protect legal rights; or

support a business reorganization, insurance matter, professional-adviser review, or transfer, subject to appropriate confidentiality and legal safeguards.

6. Student Work, Photographs, and Portfolio Materials

Homeschool Classroom may photograph or scan assignments, projects, artwork, worksheets, or other student work to document services, create session summaries, and support the student's portfolio. These materials may be attached to or displayed within communications sent to authorized recipients.

Student-identification photographs are used for records, safety, and release procedures. Photographs, video, audio, testimonials, or identifiable student work will not be used for public advertising, social media, or promotional materials unless Homeschool Classroom has obtained a separate media authorization when authorization is required.

Internal educational documentation permission is separate from public media or marketing permission.

7. Children's Information and Parent-Directed Submissions

Our application and enrollment process and parent portal are intended to be used by a parent, legal guardian, or other authorized adult. Students do not directly access the Homeschool Classroom Softr application or serve as the primary account holders for our online business systems. We collect student information from adults and from our own in-person educational activities to evaluate enrollment and provide services.

Students may interact with IXL or another parent-approved educational platform as part of instruction, but they are not the primary account holder. Children under 13 should not independently submit personal information through our general website, application, or parent portal. If Homeschool Classroom later offers an online service directed to children or knowingly collects personal information online directly from a child under 13, we will evaluate and apply the notice, parental-consent, access, security, and deletion requirements that apply to that service.

Parents may contact us to request access to, correction of, or deletion of their child's personal information, subject to identity verification and any legal, safety, contractual, recordkeeping, or dispute-related need to retain it.

8. Sale, Advertising, and Marketing

Homeschool Classroom does not sell or rent personal information. We do not share student information, mobile telephone numbers, SMS opt-in information, or SMS consent information with third parties or affiliates for their own marketing or promotional purposes.

If we offer optional promotional email or marketing communications, they will be managed separately from required service communications and will include applicable preference or opt-out choices.

9. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure. Measures may include access controls, authentication, role-based permissions, secure service integrations, vendor controls, backups, monitoring, and incident-response procedures.

No storage or transmission system can be guaranteed completely secure. Parents should use strong account credentials, protect portal access, and promptly report suspected unauthorized access.

10. Data Retention

We retain information for as long as reasonably necessary to:

evaluate and document applications;

provide services and maintain student records or portfolios;

administer enrollment, billing, payments, scholarships, and agreements;

satisfy tax, accounting, insurance, contractual, funding, and legal requirements;

resolve disputes and enforce agreements; and

protect safety, security, and business continuity.

Homeschool Classroom's current practice is to retain application, enrollment, student, attendance, portfolio, work-sample, incident, agreement, billing, scholarship, and communication records indefinitely unless deletion is required by law or Homeschool Classroom adopts a shorter written retention schedule. Indefinite retention supports historical portfolios, annual-evaluation documentation, safety records, account reconciliation, and continuity of service, but no record is guaranteed to remain available forever.

Homeschool Classroom may later adopt category-specific retention periods and will update these Privacy Practices when a material change requires notice. Parents may contact us about information that may no longer be necessary, subject to any legal, safety, funding, accounting, insurance, contractual, or operational reason to retain it.

11. Data Incidents

If we determine that a security incident requires notice under applicable law, we will provide notice to affected individuals and appropriate authorities as required. We may also take steps to contain the incident, preserve evidence, restore systems, and prevent recurrence.

12. Family Choices and Requests

Subject to identity, guardianship, and authority verification, a Parent may contact us to:

review or request a copy of information maintained about the Parent or student;

correct inaccurate or outdated information;

update contact, pickup, emergency, or student-information permissions;

request deletion of information that is not required for an active service or legal obligation;

revoke an optional authorization;

opt out of marketing communications; or

ask questions about these Privacy Practices.

Revoking permission may limit our ability to provide a service when the information or disclosure is necessary for enrollment, student safety, payment, legal compliance, or delivery of that service. Revocation does not affect processing that occurred before the change and may not require deletion of records we are legally or operationally required to retain.

13. Cookies and Website Services

Our public website is hosted through Squarespace. Squarespace and other providers supporting our website, forms, portal, embedded content, or payment pages may use cookies or similar technologies for essential site functions, login, security, fraud prevention, preferences, performance, and analytics.

Our public website currently loads Meta Pixel technology. Meta Pixel and related Meta services may receive website-interaction and device information, such as pages viewed, browser or device information, and actions taken on the public website, for measurement, audience, or advertising-related purposes. Homeschool Classroom does not intentionally provide student records, application responses, work samples, health information, or educational information to Meta Pixel.

The technologies present may depend on our Squarespace settings, embedded features, and the choices a visitor makes through any available cookie banner or browser controls.

We do not intend to use student records, application information, work samples, or educational information for behavioral advertising. Visitors can use browser controls to restrict cookies, although doing so may affect site or portal functionality.

14. Other Websites and Services

Our pages and communications may link to websites or services operated by others. Their privacy practices are governed by their own policies. Parents should review those policies, particularly before allowing a student to use an external educational platform.

15. Changes to These Privacy Practices

We may update these Privacy Practices as our services, technology, or legal obligations evolve. The updated version will be posted with a revised effective date. When a change materially affects how we collect, use, or disclose student information, we will provide additional notice or obtain additional authorization when required.

For requests involving a student, please include enough information for us to identify the applicable household and verify the requester's authority. Do not send Social Security numbers, complete payment-card numbers, passwords, or unnecessary medical details by ordinary email.
